Create invoices from completed jobs grouped by customer billing group. WasteConnect packages the jobs and sales lines you choose; payment and reconciliation stay in your accounting system (for example Xero) when connected.
Before you start
Confirm jobs are Completed and not already on another invoice.
Ensure each job’s customer site uses the correct billing group (required to invoice from a job).
Check sales items on jobs reflect what you intend to charge-you can adjust lines on the create screen before you save.
Invoices appears in the sidebar only when your site has invoicing enabled. Drivers do not see this menu.
Which jobs can be invoiced?
The top of the Invoices page lists Billable Jobs. A job appears there when:
Its status is Completed
It is not already included on an invoice
It was freed from a previous invoice when that invoice was voided
Jobs are rolled up by billing group (customer name, billing group name, job count, and sales total).
Use the search box to filter by job reference, customer, site, or billing group name.
Start from the Invoices page
Open Invoices.
In Billable Jobs, expand a row to review individual jobs (reference, site, tasks, sales total, scheduled date, received date). Scheduled date is the task date closest to today, so you can see which month the work belongs to.
When the group looks correct, click Generate Invoice for that billing group.
You land on Create Invoice with that billing group’s jobs pre-selected. You can also open Create Invoice without a pre-selected group and pick a billing group from the list.
Configure the invoice
On Create Invoice, review and adjust the following before you click Create Invoice at the bottom of the page.
Select jobs
All jobs in the billing group are selected by default. Use the checkboxes (or Select All / Deselect All) to include only the jobs you want on this invoice.
You must select at least one job.
Billing contact and description (optional)
Billing contact is prefilled from the billing group. Expand the section to override name, phone, or email for this invoice only.
Description is optional internal or customer-facing text you can add before saving.
Manifest items (when shown)
If the selected jobs have manifest (waste) lines, a read-only Manifest Items table summarizes what was received, grouped by job. Use it to verify work before you bill.
Sales items
Sales lines belong to jobs; the invoice summarizes them for billing.
Switch between Detailed (per job) and Grouped (same name and unit price combined) views.
Edit quantity or price on existing job lines, remove lines you should not bill, or use Add Sales Item to add new charge lines to a selected job.
Populate Item Groups can add predefined product groups from your catalogue in bulk (when your organisation uses item groups).
You must have at least one sales line on the invoice-either from the jobs, from Populate Item Groups, or from Add Sales Item.
Start from a completed job
On a Completed job, open the actions menu and choose Generate Invoice (when invoicing is enabled for your site). This opens Create Invoice for that job’s billing group.
The action is unavailable if the job’s site has no billing group assigned.
After creation
The new invoice appears under Generated Invoices on the Invoices page and opens on its detail view.
Invoices start in Created status. While status is Created, you can edit jobs, sales lines, billing contact, and description.
From the invoice detail page, export to Xero (or your connected billing integration) when configured.
If nothing appears to bill
