Setting up your organisation

Use this guide when you are an organisation administrator setting up WasteConnect for the first time, or when you add a new site or team members.

Before you begin

You need an invitation to join your organisation in WasteConnect. After you sign in, use the site selector (top of the sidebar) to choose which facility you are working in. Many settings apply per site; user and organisation settings apply across sites.

Organisation settings

Open Settings → Organisation (visible to organisation admins).

General

  • Update organisation contact details and logo.

  • Set a default homepage for users when they sign in (for example Jobs or Calendar).

  • Connect billing integration (such as Xero) if your organisation uses invoicing in WasteConnect.

Customer notifications

Configure which automated emails customers receive about tasks (for example schedule changes). Templates and toggles depend on your organisation configuration.

You can also mark a user as a driver so they appear when assigning vehicles and tasks. Ensure each user has access to the sites they need under Sites on the organisation settings page.

Sites

View and manage the sites (facilities) in your organisation. Each site can have different capabilities-for example receiving waste, invoicing, and reporting.

Site settings

Open Settings → Site when you manage a specific site (site managers and organisation admins).

Common setup tasks:

  • Configuration - site contact details shown on operational documents where applicable.

  • Members - which users can access this site.

  • Vehicles - fleet used on the task calendar and map.

  • Pre-defined waste items - catalogue used when creating jobs (faster, consistent data entry).

  • Pre-defined sales items - pricing lines for invoicing.

  • Pre-defined destinations - common drop-off or receival destinations for transport tasks.

  • Tags - labels for jobs and tasks.

  • Waste codes - regulated waste classification (when the site handles regulated waste).

Complete site setup before your team creates jobs at volume: pre-defined items and vehicles save time and reduce errors on the job wizard and calendar.
