The task calendar is the main desktop scheduling view for a site. It shows which tasks are planned for each day, grouped by driver or vehicle, and lets dispatchers assign work without leaving the grid.
On mobile, the calendar is a list by day (not the week grid). Drivers may see only tasks assigned to them.
Open the calendar
Select Calendar in the sidebar (under Jobs where your menu is configured). Use the date controls to move back and forward by week or day.
Week view
Week view is a grid:
Columns - one per day (Monday–Friday by default; you can show weekends in View options).
Rows - one per driver or vehicle, depending on Group by, plus a dedicated Unassigned row at the top.
Group by driver or vehicle
Use Group by in the top-left of the grid to switch between Vehicle and Driver. Each task appears on the row for its assigned vehicle or driver. The grouping only changes how rows are laid out; assignments are the same either way.
Unassigned row
The Unassigned row (highlighted so it stands out) holds tasks that still need a driver or vehicle on the axis you are grouping by, or tasks that do not yet have a firm scheduled date. Subtext on the row explains which case applies (for example “Tasks with no driver assigned”).
Tasks with only a preferred date can appear under that day in Unassigned until you give them a schedule and assignment.
Expanding and collapsing rows
Each row has a chevron on the left of the row header:
Expanded - task cards show in each day cell for that row.
Collapsed - cards are hidden; each day cell shows a task count (for example “3 tasks”) so you can scan workload without scrolling.
Unassigned starts collapsed so the grid stays readable; driver and vehicle rows start expanded. Click the row header to toggle. Row collapse is independent of card density (below)-collapsing a row always switches to counts, not smaller cards.
Card density
Next to the date navigation, use the card density controls to change how much detail appears on each task card when rows are expanded (comfortable, focused fields, or compact single-line). This applies in both week and day view. Very short time slots in day view may still render as compact lines regardless of this setting.
Day view from week view
Click a day column header (for example “Wed 24 Sep”) to open day view for that date. Day view shows a time timeline for the same group-by choice, with one column per driver or vehicle and an Unassigned lane for tasks not yet placed on that axis.
Use Week view in the toolbar to return to the week grid.
Filters and view options
Status filters - narrow which tasks load on the calendar (for example Unscheduled, Assigned, Collected). Applied filters appear as pills you can clear.
Driver or vehicle filter - from View options, focus the grid on one driver or one vehicle. The grid then shows that row plus Unassigned.
View options - also control weekend visibility, timeline hours in day view, and which fields appear on tailored cards.
Schedule tasks (modal)
Select Schedule tasks to open the scheduling modal. Use it to:
Pick unscheduled tasks and set date, time window, driver, and vehicle in one place.
Apply the same assignments to several tasks when bulk scheduling.
You can also open scheduling from an empty slot in day view (click a time on a driver or vehicle column); driver or vehicle may be prefilled from the column you clicked.
Drag-and-drop (desktop week view)
In week view you can drag task cards between day cells and between rows:
Drop on a driver or vehicle row to assign that resource (for the axis you are grouping by).
Drop on a day column within a row to set or move the scheduled date for that assignment.
Drop on Unassigned to clear the driver or vehicle on the current grouping axis (depending on how the task was scheduled).
While you drag, the target cell is highlighted so you can see where the task will land.
Locked tasks - tasks that have already progressed (for example Collected, Completed, or Cancelled) cannot be dragged; open the task details to review them instead.
After a drop that changes an already-scheduled date, WasteConnect may prompt you to send a customer rescheduling email when your organisation’s notification rules apply.
Drag-and-drop (desktop day view)
In day view, drag tasks up and down the timeline to change start and end times (snapped to 15-minute blocks). Drag horizontally into another driver or vehicle column to reassign. The Unassigned lane accepts drops when you need to clear an assignment on that axis.
Drag the top or bottom edge of a card to resize the scheduled window (minimum duration applies). Resize adjusts times only, not driver or vehicle.
Dragging multiple selected tasks (below) moves them together when they share the same target.
Multi-select and bulk assign
On desktop:
Hold Shift and click task cards to build a selection (selected cards show a highlight ring).
With two or more tasks selected, use Bulk Assign to set driver, vehicle, and/or date in one step-or drag one of the selected cards to move the whole set to the same row and day.
Press Escape or click empty calendar space to clear the selection. Shift multi-select is not used on mobile.
Assign and status
When a transport task has a scheduled date, driver, and vehicle, it typically moves to Assigned and is ready for collection in the field. After collection, tasks may move through Collected, Dropped Off (when enabled for your organisation), and Completed.
Click a task card (without Shift) to open task details and adjust notes, times, or assignments in the modal.
Mobile list
The mobile calendar groups tasks under day headers. Tap a header to expand or collapse that day; past days in the current week often start collapsed so today and upcoming work stay in view. Task rows show the same kind of summary information as compact desktop cards. Use the task row to open details-there is no week-grid drag-and-drop on mobile.
Link to the map
Use Map in the sidebar to see the same tasks by location. Calendar and map can share date and filter context when you switch between them.
